Key Responsibilities:
- Lead calendar management, planning and scheduling meetings, conferences, and travel.
- Coordinate travel arrangements for business-related trips, as well as assist with personal travel when needed.
- Understand and accommodate travel preferences, providing comprehensive itineraries and organizing travel documents.
- Manage expenses by collecting receipts and creating monthly expense reports in the Concur system.
- Draft and edit various documents, including meeting preparation materials, presentations, correspondences, and spreadsheets.
- Maintain and update contact information, handle time-off entries, and coordinate logistics such as technology support and meals.
- Perform general office duties, including answering phones, welcoming guests, and managing document-related tasks.
- Represent the firm with professionalism, liaising with internal and external clients on behalf of those you support.
- Maintain confidentiality and handle sensitive information with discretion.
- Provide off-hours assistance and take on ad hoc projects as required.
- A minimum of 3-5 years of professional EA experience in a highly reputable corporate business.
- Secretarial training from Quest or Oxford Media Business School
- A solid degree.
- French speaking required
- Financial services industry experience is a plus. Experience in professional services is preferred.
- Business proficiency in French is advantageous.
- Exceptional organisational skills and attention to detail.
- A proactive mindset with the ability to prioritise multiple tasks in a deadline-driven environment.
- Excellent verbal and written communication skills, with a clear and efficient communication style.
- Strong proficiency in MS Word, Excel, PowerPoint, and Outlook; experience with Concur is a plus.
- A team player who enjoys working cooperatively to deliver business results.
- High degree of initiative, commitment, and drive.
- Strong problem-solving skills with sound judgment
- Experience booking private air travel is a plus.
