EA & Office Manager (contract 12m)
This leading property firm near Green Park station is looking for a highly organised Executive Assistant & Office Manager to support to the Managing Director and CFO as well as ensure the smooth operation of the London office. This is an excellent opportunity for a resourceful individual with a minimum of 5 years’ relevant experience, ideally within a fast-paced boutique environment.
 
Key Responsibilities
 
Executive Assistant
  • Provide comprehensive, high-level administrative support to the Managing Director.
  • Manage complex calendars, coordinate travel, and prepare detailed itineraries.
  • Organise and support executive meetings, including agenda preparation, minute-taking, and action tracking.
  • Plan and coordinate offsite meetings, company events, and executive engagements.
  • Assist in ad hoc projects and executive initiatives.
Office Manager
  • Manage office supplies, maintenance, vendor relationships, and service contracts.
  • Oversee the front-of-house function, ensuring a welcoming environment for all visitors.
  • Coordinate office layouts, moves, and new employee setups.
  • Support compliance with health & safety policies and crisis management procedures.
  • Supervise and the Receptionist and team assistant.
Finance Assistant
  • Process accounts payable transactions and support invoice approval workflows.
  • Support monthly bank reconciliations and maintain accurate records.
  • Liaise with suppliers to resolve queries and discrepancies.
  • Help generate financial reports and support audit and compliance processes.
  • Use accounting tools such as Xero where applicable.
Key Skills & Qualifications
  • Minimum 5 years of experience in a similar EA/Office Manager role, ideally within a property, finance, or corporate services environment.
  • Exceptional organisational and multitasking skills.
  • Strong written and verbal communication abilities.
  • High level of professionalism, integrity, and confidentiality.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, Teams).
  • Experience with accounting software such as Xero is an advantage.
  • Collaborative, proactive mindset and ability to adapt to changing priorities.
