Key Responsibilities
Office Operations & Set‑Up
- Support all aspects of office setup, layout, deliveries, and equipment
- Handle day‑to‑day operational tasks and practical problem solving
- Maintain high standards across reception, meeting rooms, and communal areas
- Main contact for building management and suppliers
- Manage relationships with UAE vendors, contractors, realtors, and hotels
- Coordinate office maintenance, fit‑out, couriers, and supplies procurement
- Provide local recommendations for venues, restaurants, and services
- Manage business and Golden Visa processes
- Handle expenses, travel bookings, correspondence, and logistics
- Support HR admin: contracts, onboarding, relocations, DIFC/ADGM visa applications, records
- Welcome and host clients and visitors
- Manage visitor logs and telephone enquiries
- Ensure a polished, professional experience for employees and guests
- Prepare meeting rooms and manage bookings
- Coordinate catering and event logistics
As the office grows, the role may expand into full Office Management, HR administration, and broader executive support responsibilities.
Candidate Profile
- Degree educated; 3+ years in office coordination, facilities, concierge, or admin support
- Experience in financial/professional services preferred
- Strong Dubai knowledge (suppliers, venues, real estate, business etiquette)
- Professional, discreet, organised, proactive, and solutions‑focused
- Confident with Microsoft Office, office systems, and basic IT/AV troubleshooting
- Must be Dubai-based
- AED 20,000 – AED 30,000 per month, depending on experience
