Overview

An exciting opportunity for a bright engaging Team Assistant to join the start-up division of a global investment management firm, taking on additional office management tasks. This is a chance to join a high-performing Alternative Investments team within a dynamic and fast-scaling environment.
 
This is a dual-role position combining executive support, team coordination, and office management. Working alongside a Senior EA, you will play a key role in supporting a busy team while helping shape and maintain an efficient, well-run office environment.
This role is ideal for an ambitious individual who enjoys variety, thrives in fast-paced environments, and is keen to grow into a broader office management or operations career path over time. You will assist with an upcoming office move, and take responsibility for the smooth running of the office once established.
 
Executive & Team Support
  • Manage complex diaries and coordinate meetings across multiple stakeholders
  • Organise meeting rooms and ensure smooth scheduling
  • Prepare meeting packs, agendas, and documentation
  • Arrange domestic and international travel, including detailed itineraries
  • Support expense processing and compliance documentation
  • Handle administrative tasks including approvals and internal forms
  • Maintain records, filing systems, and documentation
  • Act as a central point of contact for team administrative needs
Meeting & Event Coordination
  • Coordinate internal meetings and team offsites
  • Support team events, lunches, and social activities
  • Manage logistics including catering and room setup
Office Management & Workplace Coordination
  • Oversee day-to-day office operations and organisation
  • Liaise with building management and external vendors
  • Coordinate office supplies, deliveries, and general workplace needs
  • Monitor and resolve maintenance issues
  • Track repairs and facilities requests
  • Support a professional, welcoming office environment
As the office grows, you will gain exposure to:

  • Vendor and contractor coordination
You will have previous experience as a PA or Team Assistant, exposure to facilities or office management and enjoy this aspect of your role. Essential that you have a proactive and entrepreneurial mindset, able to operate swiftly, manage chance and adapt as the division grows. Additionally you will have strong organisational and communication skills, high attention to detail with the ability to meet tight deadlines and proficiency in Microsoft Office.

City location (Hybrid 4 days in office)
