Are you a proactive and adaptable Executive Assistant looking to work at the heart of a global investment bank?

If you thrive in fast-paced environments and enjoy being at the centre of a dynamic team, this is a rare and exciting opportunity to support the European Head of the Healthcare Investment Team at a leading global investment bank in the heart of London.

As an Executive Assistant, you will work closely with the Head, a Vice President, and the wider team, providing essential support to ensure smooth daily operations.

Alongside another assistant, you will play a key role in the success of the team, handling a range of responsibilities including:

  • Diary Management: Ensure efficient scheduling and organization of the European Head’s, and VP's calendars, with meeting support for the team.
  • Travel Coordination: Organize comprehensive travel arrangements, including flights, hotels, trains, and car services.
  • Communication: Handle phone calls, messages, and manage both internal and external communications.
  • Document Handling: Assist with faxing, scanning, copying, and binding important materials.
  • CRM & Filing: Maintain accurate records, filing, and regular updates in the CRM system.
  • Marketing & Administrative Support: Assist in preparing marketing materials and managing courier services.
  • Meetings & Events: Schedule meetings, arrange conference calls, video conferences, and liaise with IT for technical setups.
  • Expenses: Process monthly expenses for the senior leadership team.
  • Client Interaction: Greet clients and visitors with professionalism and hospitality.
  • Ad-hoc Duties: Provide assistance with various administrative tasks as required.

About You:
We are looking for a self-starter who is enthusiastic, highly organized, and able to manage multiple tasks in a fast-paced environment. The ideal candidate will have:

  • A minimum of 3 years’ proven experience as an Executive Assistant, in a dynamic London-based firm.
  • Strong organizational and communication skills, with the ability to handle multiple priorities.
  • Proficiency in office software and systems, including CRM tools.
  • A professional and proactive approach with excellent interpersonal skills.
